Privacy policy for children and young people

The Safeguarding Board for Northern Ireland (SBNI) is in charge of making sure that agencies, involved in protecting children in Northern Ireland, work well together so that children and young people can be safe from harm.

This privacy policy explains how your personal information is managed by SBNI

Why does SBNI use my personal information?

Mainly we collect information on individual child protection cases to review and find out how well agencies whose job it is to help keep children safe, are doing so that any learning can be shared, so that we can get better at keeping children and young people safe.   These are called Case Management Reviews.

Reasons we use your information may include:

  • Undertaking Case Management Reviews;
  • Employing some organisations to do some work for us to help in our work to keep children and young people safe;
  • Providing training/awareness raising events; and
  • Finding out what children, young people, parents/carers and staff think and feel about keeping children and young people safe.

How do you process my data?

To be able to use your personal information we must have a lawful reason for doing so.

  • The main reason we need to use your personal information is because we have a legal obligation to do so such as for carrying out Case Management Reviews.
  • Another reason we may need to use your personal information is for ‘Contracts’, when we employ organisations to do some work for us, to help in our work to keep children and young people safe:
  • We may need to use your personal information for what is called ‘Public task’ where we need to use information in the interests of the public.

Do I need to give my permission?

Usually information is gathered because we have a legal duty to do so but we may occasionally, ask your permission in writing, when collecting and sharing information to help us make people aware about keeping children and young people safe.  For example when we run campaigns, competitions, gather the views of children/young people, parents/carers and staff on safeguarding. This may include images/photos and voice recordings relating to our overall plan to keep children and young people safe.

You may contact us at any time if you decide you don’t want your information used in this way or ask us to remove your information. The person to speak to about this is named below.

Information may be shared without your permission when required by law, for the purposes of keeping children and young people safe.

What types of personal information is collected?

We only collect the information we need to. This may include your name, address, date of birth, contact details, where you are from, and other information for example, if you have a disability or from a particular culture or group.

We may also collect information related to keeping children and young people safe, and information when we are using other organisations to undertake work on our behalf.

Where do you get my personal data from?

Much of the personal information we hold is received from our Member Agencies, other partner organisations and from the public or private individuals who make contact with us.

We gather some personal information from surveys, consultations, applications/agreements for organisations undertaking work on our behalf, and enquiries we receive.

This can include information you provide in person, on an official form (online or in paper form) or by telephone.

Do you share my personal data with anyone else?

Yes. In undertaking Case Management Reviews, we need to share personal information with our Member Agencies, other partner organisations, bodies and professionals involved in individual cases. Information from Case Management Reviews that is placed on our website to share learning is anonymised to ensure confidentiality. This means that no personal data such as names, dates of birth or addresses are put on our website.

Do you give my personal information to other countries?

Only in exceptional circumstances, for example, where information needs to be shared with child protection agencies outside Northern Ireland for the purposes of Case Management Reviews.

Any information given will be based our legal need to do so.

How long do you keep my personal data?

We will only keep your information for as long as necessary, in keeping with particular guidance set down by the Department of Health in Northern Ireland.

What rights do I have?

You do have rights in how we use your personal information. Examples include confirming that your information is being used, being able to see your personal data and if the information we hold is not correct in any way you can ask that it be corrected.  You can ask to have your personal information removed and to prevent the use of it, in certain circumstances.
